Rental Contract

The Vintage Loft Studios can be booked for photo sessions, video shoots, meetings, workshops, classes, and other small events as agreed upon. Please read these policies in full before you book. By booking and paying for a studio, you agree to our policies outlined below.

1. Booking & Rental Agreement

Your studio is not guaranteed until this Rental Agreement has been completed and signed.

These policies are automatically agreed to when you book and pay for your rental or event. Signing this document confirms you have read and accept them.

2. Your Rental Time

Your rental time includes your arrival, set-up, and set-down. Please plan your session to fit inside your booked window.

• Arrival: You may not arrive more than 15 minutes before your booked start time. Your studio will be ready for the time you reserved it.

• End of session:. Our staff will check your studio within about 5-10 minutes before the end to confirm you are leaving enough time to leave the studio in its original condition. There is no extra time built in for clean-up, so please tidy up within your booked window.

• Running over: After a 5-minute grace period past your end time, a late fee of $25 + HST applies. If you need more time and the studio is free afterward, you may extend based on 15 min increments that will be pro rated based on the pricing of your studio.

3. Getting Here & Accessibility

Address: 207A Dundas St. West, 2nd floor (above Pizza Nova), Whitby, Ontario L1N 2M4

Entrance: Enter on the east side of the building through the door labelled The Vintage Loft and head upstairs to the 2nd floor. Please do not go up the fire escape.

Parking: Free parking anywhere in our lot (shared with Pizza Nova and the medical office on the east side). Green P parking is also available across the street if needed.

Accessibility: We’re on the 2nd floor and, due to the age of the building, there is no elevator. If anyone in your group needs assistance, we’re glad to help. We have a chair lift, a portable wheelchair, and trained staff for an easy transfer. Just let us know ahead of time.

4. Sound & Audio

We have other studios and another business below us, so some sound transfer can happen and is beyond our control. If you need clean audio recording, we suggest booking the Full Studio, or the Full North or South Wing, and using a mic-to-speaker system.

5. Studio House Rules

All guests renting the studios are responsible for following these guidelines. Please respect the studios and leave them clean and tidy to avoid additional fees.

Failure to do so may result in additional charges and/or loss of future access to our studios.

1. Groups of 8+ — If you expect more than 8 guests in your studio (6 in the Dream room) at once, let us know in advance so we can manage the studio and the common-area flow. For more than 8 guests, you’ll need to book the adjacent studio for noise control.

2. Inside shoes — Please have you and your guests bring clean shoes to keep our floors and furniture clean. We also have studio slides available to use. (This clause is void for Events, Guests can wear their shoes in)

3. Last person out — The person who booked the studio must be the last to leave, as they’re responsible for the condition the room is left in.

4. Music — No explicit music, please.

5. Pets — We are pet friendly. Add the $25 + HST pet fee on our website. It lets us prep for your pet (pet couch, water bowl, lint roller, noise maker, fresh beef liver and dried chicken treats) and covers sterilization afterward. Pets must be leashed or held except while being photographed. The client is responsible for any extra cleaning or damage — a $50 cleaning fee applies for accidents on carpet, props, bed, etc.

6. Confetti, rice, glitter — Tossing confetti, rice, glitter, or similar is not permitted. Clients are responsible for cleaning costs for any confetti or glitter found.

7. Prohibited items — No open flames, sparklers, smoke bombs, hazers/fog machines, or bubble machines. For events, candles surrounded by glass are acceptable.

8. Smoke-free — This is a smoke-free facility. E-cigarettes, vaping, and cannabis are also not permitted.

9. Personal items — Bring all items into the studio you’re renting. We are not responsible for loss or damage to items left in common areas.

10. Video surveillance — All common areas are under video surveillance to help ensure everyone’s safety and security, and that studio policies are being met.

6. Damage

Each renter assumes full responsibility for any damage caused to any part of the entryway, studios, washroom, floors, windows, doors, mirrors, walls, ceilings, props, and/or any equipment agreed upon.

Each renter agrees to pay in full for the repair or replacement of any item or structure damaged by the renter or by their clients, collaborators, or guests. Full payment for repair or replacement is due within 30 days of when the damage occurred.

7. Liability

Each renter assumes liability for injury to themselves and to anyone they invite into the space, including guests attending photography sessions, meetings, workshops, classes, and events. This includes injuries arising from the renter’s activities, equipment, or invited guests.

This does not apply to injuries resulting directly from unsafe conditions of the building or hazards that The Vintage Loft is legally responsible for.

8. Cancellations & Studio Credit

The booking fee is non-refundable. Depending on the type of booking, you may receive studio credit toward a future booking:

Regular studio bookings

• Cancel with more than 48 hours notice → full studio credit.

• Cancel with less than 48 hours notice → no studio credit.

Special holiday / themed studio bookings

• Because of limited spots, rentals, and staffing, these have a longer cut-off. We need 7 days (one week) notice for studio credit. Cancel with less than 7 days notice → no credit.

Event bookings

• Your deposit is non-refundable and cannot be transferred into credit.

Studio credit expiry: Once issued, studio credit expires 3 months from the original appointment date and cannot be extended.
